The P46 Form is designed to inform HM Revenue and Customs about hiring a new employee as an employer. Besides, completing the form, an employee provides an employer with the information allowing the latter to set up the appropriate tax code.

What is the P46 form?

The P46 form is a form issued by Her Majesty’s Revenue and Customs. It is usually filled out by an employer who is informing the department of a new hire. Through completing this form, an employee provides his or her respective employer with the information allowing the latter to set up the appropriate tax code.

Can I fill out the P46 form?

If you are a new hire of a company based in the United Kingdom and do not have a P45 form from your previous employer, then you are currently eligible to fill out the first page of this form. The second page must be completed by the employer.

What do I need to fill out the P46 form?

If you do not have a P45 form, then you must provide a number of required personal details and other information.

You will have to indicate your national insurance number, title, date of birth, legal surname and first name(s), address details such as your house number or flat number, postcode, and gender.

To finalize all of this information, you will need to provide your signature and the date of signing.

You will also be asked to indicate your present circumstances. Specifically, you will have to write down whether this has been your last job since 6 April, if you’ve had a job since 6 April, or if you currently have another job. Additionally, you will be asked if you left a course of UK Higher Education and received your first UK Student Loan installment and have not fully repaid your student loan.

The form will also ask details regarding your employer. Your employer will have to provide their PAYE reference, employer name, building address, and postcode.

They will also have to provide the tax code used.

How do I fill out the P46 form?

Your details
This section of form P46 will ask you to input your personal details.

You will first need to provide your national insurance number. This is very important to get your tax and benefits right. Follow this by writing down your title in the space provided. Examples of a title in this scenario include but are not limited to “Mr.”, “Mrs.”, “Miss”, or “Ms.”

You will then need to provide information regarding your identification. In the appropriate space, write down your surname as well as your first name(s). You will then be asked to write down your. Additionally, you will be asked to provide your date of birth in the DD MM YYYY format.

You must also indicate details regarding your current address. Such as your house or flat number and postal code. If the full name of your address is too long to fit in the given space, you may write it on the extra space provided.

Your present circumstances
You must then provide details regarding your current circumstances by checking the boxes appropriate to your situation.

If this job is your first job since last 6 April, and you have not been receiving taxable Jobseeker’s Allowance, Employment and Support Allowance or taxable Incapacity Benefit or a state or occupational pension, then mark Box A.

If this job is now your only job, but since last 6 April you have had another job, or have received taxable Jobseeker’s Allowance, Employment and Support Allowance, or taxable Incapacity Benefit and do not currently receive a state or occupational pension, then mark Box B.

If you have another job or receive a state or occupational pension, then mark Box C.

Note that among Boxes A, B, and C, you may only mark one (1) of these boxes.

Student Loans (advanced in the UK)
If you left a course of UK Higher Education before last 6 April and have received your first UK Student Loan instalment on or after 1 September 1998 and you have not fully paid your student loan, then enter X in Box D.

Note that you should not mark the box if you are repaying your UK Student Loan by agreement with the UK Student Loans Company to make monthly payments through your bank or building society account.

Signature and date
To verify all of the information that you have written on this form, you must affix your signature and input the date of signing in the DD MM YYYY format.

Employee’s details
This section will cover the details of the employee.

Your employer must provide the employee’s starting date, or when the employee began working for the company, in the DD MM YYYY format. He or she must also provide the employee’s job title and works/payroll number and department of branch (if any).

Your employer must also provide his or her own details. This includes writing down his or her Employer PAYE reference, inclusive of their office number and reference number, his or her name, the address of the building and postcode.

Tax code used
Finally, your employer will provide the tax code used for your employment.

If your tax code is an emergency code on a cumulative basis, then your employer will mark Box A.

If your tax code is an emergency code on a non-cumulative Week 1/Month 1 basis, then your employer will mark Box B.

If your tax code is Code BR unless you fail to complete section one then code 0T Week 1/ Month 1 basis, then your employer will mark Box C.

Your employer will then write down your tax code in the appropriate space. If Week 1 or Month 1 applies, then he or she will have to mark the corresponding box.

After everything has been completed, congratulations, you have successfully completed the P46 form.
