What is a Child Care Authorization letter?

A child care authorization letter is a letter usually written by parents authorizing another person to temporarily take care of their child for a period of time. When you authorize a person to take care of your child, you are also giving them the authority to make decisions regarding the welfare of the child.

However, the decisions that the authorized person makes shall not be major decisions, the authorized person can only make small decisions. If the parents want to allow the authorized person to make major decisions, they may write a power of attorney for child instead.

Who can I authorize to take care of my child?

There are no specific people indicated on the letter regarding who are allowed to be given authorization. The provisions do not state that your relatives are the only people who are allowed to be given authorization. Therefore, you can choose anyone you want.

Make sure that you trust the person you choose to take care of your child, choose someone who has a good relationship with your family. Choosing someone who is good with children or knows how to make decisions for the welfare of your child.

Is there other information that I need to know before writing this authorization letter?

  • Child Care Authorization letter is an underutilized document but it can be very useful to get immediate medical or other attention for your children in case of an emergency.

  • Along with this authorization letter, provide your health cards and other necessary information so that your caretaker is totally prepared when an emergency happens. In doing so, you, your child or children, and the caretaker will be free of any inconveniences in case of an emergency.

  • It is advised that you put this document at a visible place in your home so that your caretaker can easily access it in case of emergencies and if someone asks for proof that the care service is legal and authorized.

  • Advise the caretaker to have a copy of the document in case the original document gets misplaced.

  • You should always be prepared to write this document if you are leaving home overnight and most especially when you are going to be away from home for a long period of time.

  • You should sign multiple copies of this document, you must have at least one copy for yourself, and one or more copies for the caretaker. If possible, another copy must be present and stored either in your computer or in your personal storage to avoid inconveniences in case the primary copies are misplaced.

  • This document is very useful, it is also advised that you sign and print several copies after filling out the letter so that once you will need to authorize a caretaker to watch over your children, you have a document that is already prepared.

How to fill out a Child Care Authorization letter?

The first part of the letter grants the caretaker the authority to watch over your child or children.

Enter the name of the person whom you are authorizing.

The next line of the letter signifies the date when the grant of authority will start. It states that the authorization shall end once it is terminated by you or your co-parent.

The next part of the letter allows you to choose the extent of the authority granted to the caretaker. You may choose all of the given options or only your preferences. You may choose from the following:

  • You are authorizing the caretaker to seek appropriate medical treatment or attention on behalf of your children if circumstances deem it necessary. It is included but not limited to, medical doctors and/or hospital visitations.

  • You are allowing the caretaker to make decisions regarding medical treatment or medical procedures in emergency situations.

  • You are authorizing the caretaker to make decisions regarding clothing, bodily nourishment, and shelter.

  • You are authorizing the caretaker to explain your child or children’s absences from school.

  • You are authorizing the caretaker to pick up your child or children from school.

  • You are authorizing the caretaker to sign release forms for sports, field trips, or any other extracurricular activities that require consent from parents.

The last line of the letter states that if the caretaker has any questions, clarifications, or additional information, he or she may contact you.

NOTES

By signing this form, you must understand the extent of the authority that you have given the caretaker. If the matter at hand is beyond the extent of the authority, the caretaker must contact and consult with you and it is you who has to make the decision.

If your child or children are harmed during the duration of the authorization period, the caretaker is the primary individual that must make the decisions regarding the welfare of the child or children, as stated in the letter.

The caretaker must not commit illegal actions towards your child or children, if he or she does something of the sort, and it is proven that false actions are done to your child are true and evidence supports it, you can file a lawsuit or place charges on the caretaker.
